Payroll Specialist

Who We Are Looking For:

Fooda is looking to add a Payroll Specialist to our growing Finance and Accounting Team. Reporting to the Financial Controller and based in our Chicago headquarters, the Payroll Specialist will ensure accurate processing and timely delivery of payroll for over 450 employees across multiple states while enhancing existing processes. 

The Payroll Specialist will be the go-to expert on all things payroll and will work across multiple markets and departments at Fooda. This is a fast-paced role in which candidates must demonstrate excellent attention to detail and deliver outstanding employee support daily.

What You Will Be Doing:

  • Process semi-monthly multi-state payroll for 450+ exempt and non-exempt employees and process special pay-cycles aligning to different roles and departments (e.g. monthly commission, quarterly commission bonus, etc.)
  • Administer process for employee time keeping system (Deputy) by uploading data and processing import files to Paylocity
  • Continuously review local, state and federal laws to ensure company systems and processes are compliant including statutory reporting and tax filing requirements
  • Monitor and update payroll records related to employee transfers, promotions and terminations  
  • Prepare and present payroll reports to upper management as requested/needed
  • Prepare and review payroll general ledger entries, monthly salary allocations and month-end and quarter-end reconciliations to be submitted to Controller and Chief Financial Officer
  • Participate in month end closing tasks for all payroll and 401k accounts
  • Generate and distribute all payroll reconciliations and reports for end of year close and internal audits
  • Respectfully communicate and respond to any payroll issues or questions from employees promptly while offering solutions
  • Process any off-cycle payrolls as requested/required by state laws
  • Additional projects as requested by Controller and/or CFO

What You Should Already Have:

  • Minimum three years’ experience in processing payroll in a fast paced multi state company using a major payroll system (e.g. ADP, Paylocity)
  • Bachelor’s degree preferred
  • Exceptional Excel skills
  • Experience with HRIS systems a plus (e.g. Zenefits)
  • Excellent verbal and written communication skills
  • Ability to exercise discretion and maintain confidential/sensitive information for all employee levels
  • Strong attention to detail and ability to be thorough in completing tasks while adhering to multiple deadlines
  • Desire to help to automate, streamline and document existing and recommended processes
